Pay Profiles and Payroll
Use this guide to prepare reusable pay profiles, assign them to employees, and run payroll for the selected period.
Create pay profiles
- From the main Acel dashboard, click HR or HR & Payroll.
- Click Pay Profiles.
- Click New Pay Profile.
- Enter the pay profile Name, such as Permanent Staff, Casual Staff, or Management.
- Enter a short Description if the organization uses more than one pay scheme.
- Click Add Job Group.
- Enter the job group Name, such as Job Group A or Supervisor.
- Enter an optional Code.
- Enter Lower Limit, Upper Limit, and Increment Amount.
- Repeat Add Job Group for each grade used by the organization.
- Click Save.
Assign employees
- In HR, click Employees.
- Click the employee you want to update, or click Edit on that employee's row.
- Find the pay profile or payroll section on the employee form.
- Click the Pay Profile Job Group dropdown.
- Select the job group that matches the employee's salary grade.
- Confirm the pay profile name and job group name are shown on the employee record.
- Click Save or Update.
- Repeat for every employee who should be included in payroll.
Run payroll
- In HR, click Payroll or Payroll Run.
- Click New Payroll Run if the run form is not already open.
- Select the Year.
- Select the Month.
- Enter Default Allowance only if the allowance applies to all employees in this run.
- Enter Default Deduction only if the deduction applies to all employees in this run.
- Click Run Payroll.
- Review the result summary: Created, Skipped, and Unassigned.
- Click Payroll Entries.
- Click a generated payroll entry and review Basic Pay, Allowances, Deductions, Gross Pay, Net Pay, and Status.
What to do with unassigned employees
- If the payroll result shows unassigned employees, click or note the unassigned employee list.
- Click HR, then click Employees.
- Click each unassigned employee row, or click Edit on that employee's row.
- Select the correct Pay Profile Job Group.
- Click Save.
- Return to Payroll Run.
- Run payroll again for the same year and month. Acel skips employees already created for that period and adds only eligible missing employees.
Payroll uses each employee's assigned pay profile job group. Do not select one global pay profile for all employees during the run.
